How to Edit Emails Sent to Users

If you want to customise the notifications your wholesale applicants receive — from the initial application confirmation to account approval or rejection — WooCommerce Wholesale Lead Capture gives you full control over those messages. This guide shows you how to find and edit each email, update subject lines and body copy, and use dynamic placeholders to personalise your notifications.

Prerequisites

  • WooCommerce installed and active
  • WooCommerce Wholesale Lead Capture installed and active
  • WordPress admin access

Step 1: Open the Email Settings

  1. Go to WooCommerce > Settings > Emails.

From here you can manage the following wholesale notifications:

  • New wholesale lead (Admin)
  • New wholesale lead auto-approved (Admin)
  • Wholesale application received
  • Wholesale account approved
  • Wholesale account rejected

Step 2: Edit an Email

  1. Click Manage next to the email you want to edit.
  2. Update the subject line, heading, and body content as needed.
  3. Click Save changes.

The design will follow your WooCommerce email template settings — you don’t need to rebuild the layout, only update the text and placeholders inside it.

Step 3: Add Dynamic Placeholders

You can use dynamic placeholders to personalise each message. These tags automatically pull user and site data, such as names, email addresses, and company details. Available placeholders may vary depending on the email type:

By default, Wholesale Lead Capture sends admin notification emails to your WordPress admin address. To change the recipient or add CC recipients:

  1. Go to Wholesale > Settings > Wholesale Lead Capture > Emails.
  2. Update the recipient email address or add CC recipients as needed.
  3. Click Save changes.

By default, admin alerts route to your WordPress site’s administrator email. If that address is outdated, go to Wholesale > Settings > Wholesale Lead Capture > Emails to set a specific recipient.
