New Feature! Send Automatic Invoices To Wholesale Customers

Wish invoices could send and charge themselves? This new update gives you precisely that! Our latest feature in Wholesale Suite lets you send automatic invoices to your wholesale customers.

In this article, we’ll walk you through how this works, where to find the settings, and how to turn it on. Whether you’re new to wholesale or already processing a lot of orders, this update will help you save time and keep things running smoothly.

Let’s look at how sending automatic invoices really works behind the scenes.

Sending Automatic Invoices

With this new feature, sending automatic invoices is now efficient. When a wholesale customer checks out using payment terms like Net 30/60/90, the system can now charge them automatically on the due date.

Here’s how it works

At checkout, Stripe saves the customer’s payment details in a safe and secure way. Then, when the payment date comes, the system charges the saved payment method right away.

If the payment goes through, the order is marked as “Paid” in both Stripe and your store. But what if the payment fails? Don’t worry! Stripe will try again a few times. If it still doesn’t work, the store admin will get a message so they can follow up.

You can also see upcoming auto-charges in your admin dashboard. So if you want to check what’s coming up or make changes, it’s all there. And don’t worry, it works well with the checkout system you’re already using. Whether you want to send invoices or charge automatically, your store settings are ready for both.

Enabling Auto Charge On Wholesale Settings

💡Note: Before doing these steps, make sure you’ve already installed the plugin and are using the latest version of Wholesale Payments. This feature only works if Wholesale Payments is active and updated.

Turning on the auto charge feature in your store is very simple. First, go to your Wholesale Settings and click on WooCommerce Wholesale Payments.

From there, open the Checkout tab. You’ll see an option called “Show Auto Charge Label.” Turn this on so customers can see that their payment method may be auto-charged during checkout.

Additionally, there’s also an option for “Auto Charge Invoices.”

When you enable this, your store will automatically charge your customers’ saved payment methods for their invoices. This means they won’t need to pay manually, and you won’t have to follow up or send reminders. It’s a helpful option if your customers prefer to pay on time without extra steps.

Once everything is set up according to your preference, don’t forget to click Save.

Enabling Auto Charge On Payment Plans

💡Note: Before proceeding with this step, make sure you’ve already enabled “Show Auto Charge Label” in your Checkout settings under Wholesale Payments. This will make the auto charge option appear during checkout.

To apply auto charge to a specific payment plan, go to your dashboard and click on Wholesale > Payments > Payment Plans. Choose the payment plan you want to edit. Once you’re inside the plan, scroll all the way down to the bottom. There, you’ll see an option called “Apply Auto Charge Invoices.” Toggle this on, then click Save.

After turning this on, the auto charge option will now appear on the checkout page for that specific plan. This means when a customer uses this plan, their saved payment method will be charged automatically on the due date.

But if you want to make auto charge available for all your payment plans, not just one, you can go back to Wholesale Settings > WooCommerce Wholesale Payments > Checkout, then toggle on the “Auto Charge Invoices” option. This will apply to all orders with payment terms and will use automatic invoices by default.

Auto charge on invoices

You can also see in the Invoices tab whether a customer’s payment plan is still set to auto-charge or not.

When you click “View Details,” you’ll also see on the customer’s invoice if they’re already tagged for auto-charge. Under their payment plan, you’ll be able to view the status and when their next payment is scheduled to be charged.
